Effective Email Marketing Strategy

As a business person, you are used to paying for advertisements and generating quick sales from them.

So, a common mistake is to think of email marketing in the same way that you think of traditional forms of advertising.

Marketers who take this approach believe that if they send out 10s of thousands of emails that, no matter if it’s an advertisement, someone is bound to open it and buy something.

This tactic is akin to a mass market approach taken by large corporations such as McDonald’s. McDonald’s spends millions of dollars on making sure that everyone knows about their products, because if you reach enough people in the mass market, then odds are that somebody is going to eat a cheeseburger.

But, is this the most effective way to approach email marketing? Or, a better question may be, is this the right approach to take as a small business that does not have a multi-million dollar advertising budget?

Think for a minute about the CAN-SPAN laws. Why were the put into place? Well, some politicians decided that receiving unsolicited email was just as bad as a telemarketer calling just as you sat down to have dinner with your family. Nobody wants unwanted phone calls. And, nobody wants unwanted emails.

Most people, probably yourself included, think of their email inbox as a personal space where they receive messages from family, cute pictures from co-workers, and meaningful announcements from organizations they love and trust. The majority will not tolerate receiving unwanted messages. And, once they hit the SPAM button, you may as well be on the national do-not-call list.

Effective email marketing does not involve blasting advertisements in hopes of making a quick sale. If you do that, you’ll lose subscribers and lower your reputation with recipient mail servers.

Effective email marketing, like any marketing, involves a plan with well-defined goals and a strategy to reach those goals.  And it requires a different type of thinking.

Your question when developing an email marketing strategy should not be: how many sales can I make from this email?

Now doesn’t that go against everything you learned in business school?

But, the fact is, if you’ve spent time building your mailing list, then you know that the recipients on it have one thing in common: they’re your ideal target market. They are people who have subscribed to your newsletter or offers because they’re interested in them. So, it actually makes absolutely no sense whatsoever to approach them as you would a mass market, because you have the advantage of knowing what interests them.

If you’ve reached the target market, you’re already 70% of the way to making a sale.

So, relax, don’t try so hard.

Simply engage your tarket market as a friend. Now that you know who they are and what they’re interested in, simply give them something of value — advice, news, tips, an announcement.

The only statistic you really need to think about is this one — that a person must be exposed to your business at least 6-7 times before they will have the trust and confidence in you to make a purchase.

The question is, then, how can I reach this person’s inbox six or seven times? How can I gain their trust and build their confidence in me?

Then…how can I have the privilege of staying their personal space after that?

Do that, and the sales will come naturally.

Of course, that’s not to say that you can’t give them a special offer or sales ad a good 20% of the time.

How to Add a Facebook and Twitter Button to Your Email

With Email Marketing Pro, you’ll find that adding a Facebook or Twitter button to your outgoing email is actually an extremely simple process. Why pay monthly fees to an online service to do such simple things for you when you can do it free?

To add a Facebook and Twitter button to your email, you just need a bit of html code to enter into the html source. You can copy and paste the following code snippets  into your email or email signature.

Simply insert the URL of your Facebook page in between the empty quote marks below:

To replace the URL of the Facebook page to your own, do the following:

  1. Visit your Facebook page in your web browser.

Staying on Good Terms With Recipients

Email Marketers all share the same fear: what if the recipient flags my email as spam or, worse yet, reports my email to the “abuse” address of their mail server, thus causing me to get blacklisted?

While this is a very real concern and can happen to even the most experienced and largest email marketing firms, there are several things you can do to assure that this won’t happen. Here are some tips and tricks to stay on good terms with the people on your email list.

  1. Only send emails relevant to what they signed up for. If the recipient signed up for a weekly  newsletter about dog care, don’t send them an email entirely about a special offer from your software affiliate.
  2. Don’t send your email to a generic recipient such as “support”,”webmaster”, or “admin” unless they specifically signed up for your newsletter.  These recipients are more likely to report you to their mail server admin because they are in part responsible for the business’ operations.
  3. Always remind the recipient why they are on your mailing list, with a sentence such as “You are receiving this email because you have signed up for our weekly newsletter at suchnsuch.com”  More and more, a lot of businesses are putting a sentence right at the very top of the email (above any design templates) that says “Please do not report this as spam. You are receiving this because you signed up for our newsletter. To unsubscribe, click here.”  This brings us to our third tip.
  4. Always make it plainly obvious how the recipient can unsubscribe from the newsletter and also provide your physical address as an alternative means to contact you. This is the law!
  5. Recipients have the power to correctly or incorrectly flag your email as spam, which then records this in their settings and prevents future emails. Another counter-measure is to remind the user to enter your email address into their address book and link them to instructions on how to do so. This prevents your email from going into the Junk/Spam folder.
  6. Another trick, to prevent them from reporting you, is to include a line such as, “This email was sent using Email Marketing Professional. To report abuse of this software, click here to send an email to support@atlanticsoftwarestore.com.”

Make sure your email doesn’t look spammy.  We’ve all seen those one sentence messages with a link and immediately wonder how they made it to our inbox. Also, take the time to send the email to results@verifier.port25.com. This will send you a reply email that tells you your spam score and will help you correct any phrasing or email headers that might be suspicious to spam software.

Remember, for each mail server there is a mail admin who has the ability to create his  or her own rules about what spam is, including using your mail server’s IP Address. You’re not going to get your message through 100% of the time, but by following practical guidelines, you should be OK.

If you think you’ve been blacklisted, go to http://mxtoolbox.com/SuperTool.aspx. Enter your domain name and the tool will list your mail server. Run the blacklist check, and this will query 122 known blacklists.

Or, the problem may be that your own ISP or mail server admin has blocked your outgoing mail. Usually, you can unblock yourself by explaining that you have been sending legitimate business communications in bulk and that a recipient erroneously reported you. As who the recipient was, and if they know, simply remove them from the list and explain to the admins that you have taken measures that will prevent this from happening again. Troubleshooting the Email Queue

This article explains the purpose and component parts of the email queue. In addition, it explains how to troubleshoot error messages related to the queue, such as when you receive the message “Failed to queue” in the results window while sending a message with Email Marketing Pro.

Email Queue – Purpose and Components

The purpose of the email queue is to provide a place for temporary storage of outgoing email messages. These outgoing messages are “picked up” by a Windows Service (i.e., a program that runs in the background of Windows) and sent to the mail server using a process that runs in the background.  This Windows Service has the ability to maintain several connections to the mail server, thus sending multiple emails at once, a powerful feature that is not available in the free version that speeds up mail sending exponentially.

The queue depends on four components in order to function properly.  You can check if the queue is installed properly by going to Mail –> Queue Manager. If any of these components are not installed or configured correctly, the queue will fail. Those components are:

  1. Administrative privileges – a manifest file called emp.exe.manifest, located in the program folder, ensures the program will be run with administrative privileges.
  2. A Windows Service called ChilkatSMTPQ. Installed as a separate program, the SMTPQ is located in the program directory and is called ChilkatSmtpQ.exe
  3. A registry key called HKEY_LOCAL_MACHINE\SOFTWARE\Chilkat Software, Inc.\SMTPQ
  4. Six subfolders located in the folder “C:\Users\<Your User Name>\Documents\EMP”. These folders are called Errors, log, queue, sent, undeliverable, and undelivered

Troubleshooting the Queue Components

To troubleshoot the email queue, check that all of the component parts are installed or configured properly. Follow the instructions after each component name to check that component.

1. Administrative Privileges – launch Email Marketing Pro and make sure a security warning appears, like the following:

If the warning does not appear, you can configure Email Marketing Pro to run with admin privileges by following these steps:

  1. Go to the program folder located in C:\Program Files\James River Software\Email Marketing Pro Small Business.
  2. Right-click the file called EMP.exe. and select properties. The properties window opens.
  3. Click the Compatibility tab.
  4. Check the box “Run this program as an administrator”
  5. Click OK to save your changes.

2. Windows Service

To check the Windows Service, go to Mail –> Queue Manager, and you should see the message “Queue Service is running,” as shown below.  If you receive the message “Queue Service is not installed,” try clicking the “Install” button.

Another way to check the Windows Service is as follows:

  1. Click Start. In the search box, type “services.msc” and hit Enter. The services window opens
  2. You will see a list of Windows Services that run in the background on your computer. Look for the item ChilkatSMTP, as shown below:

If the service is not listed, then it was not installed correctly during the installation.  One possible reason is that your antivirus program blocked the installation, because it incorrectly detected that the mail queue is a virus that sends spam.

Please, first try disabling your antivirus program and run the Email Marketing Pro installation again.

Also, you can try to manually install the windows service in the following way:

  1. Open a command prompt with admin privileges by clicking Start and then entering “cmd” in the search box. When cmd appears under the Programs menu, right-click and select run as administrator.
  2. In the command window, enter the following command: sc create SMTPQ binPath= “c:\program files\james river softw
    are\email marketing professional small business 2010\chilkatsmtpq.exe”

3. Registry Key

Your system registry should contain a registry key called HKEY_LOCAL_MACHINE\SOFTWARE\Chilkat Software, Inc.\SMTPQ, as shown below. Follow these steps to find the key:

  1. Click the Windows Start button. In the search box (or run box on XP), enter “regedit” without quotes. Your registry editor will open
  2. In the registry editor navigate to HKEY_LOCAL_MACHINE\SOFTWARE\ and look for  the subkey Chilkat Software, Inc.\SMTPQ

If the key does not exist, follow these steps. (Warning: modifying the registry incorrectly may cause damage to your system. Make a registry backup before attempting these steps.)

  1. Click the Windows Start button. In the search box (or run box on XP), enter “regedit” without quotes. Your registry editor will open.
  2. In the registry editor navigate to HKEY_LOCAL_MACHINE\SOFTWARE\
  3. Right-click the SOFTWARE key and select New-Key. Enter a key named “Chilkat Software, Inc.” without quotes
  4. Right-click the Chilkat Software, Inc. key and select New –> Key. Enter a new key named SMTPQ.

4. Subfolders

You should have five subfolders located under C:\Users\[Your UserName]\Documents\EMP. To check that the subfolders are present, please follow these instructions:

  1. First, check the Queue Manager. In Email Marketing Pro, go to Mail –> Queue Manager and see if there are values under Email Queue Settings by
  2. Open Windows Explorer by double-clicking “My Computer” on your Windows Start menu.
  3. In Windows Explorer, navigate to C:\Users\[Your User Name]\Documents\EMP , where [Your User Name] is your windows user name
  4. Look for the folders called “queue,” “sent,” “undeliverable,” and “undelivered.”

If these folders are not  present, please try the following:

  1. In Email Marketing Pro, open Mail –> Queue Manager.
  2. Under “Email Queue Settings,” enter the correct values.
  3. For Queue Directory, enter “C:\Users\[Your User Name]\Documents\EMP\queue”
  4. For Undelivered Directory, enter “C:\Users\[Your User Name]\Documents\EMP\undelivered”
  5. For Sent Directory, enter “C:\Users\[Your User Name]\Documents\EMP\sent”
  6. For log directory, enter “C:\Users\[Your User Name]\Documents\EMP\log”
  7. Enter the max threads, meaning the maximum connections to your mail server. Around 20 is usually OK.
  8. Check the box to indicate if you want to save each sent email.
  9. Click Apply Settings.
  10. Click the “Stop” button to stop the Windows Service; then click “Start” to restart the service.
  11. In Windows Explorer, navigate to C:\Users\[Your User Name]\Documents\EMP , where [Your User Name] is your windows user name. Look for the folders called “queue,” “sent,” “undeliverable,” and “undelivered” to make sure they are present.
  12. If any of the above did not work, then check components 1 and 2 above.
